Privacy Policy

Expanse Electrical — Effective Date: July 24, 2026

Expanse Electrical (“Expanse”, “we”, “us”, or “our”) operates the Expanse Entry mobile and web application (“the App”). This Privacy Policy describes how we collect, use, and protect information when you use the App. The App is an internal enterprise tool used by authorized employees and contractors of Expanse Electrical.

1. Information We Collect

We collect the following categories of information:

• Identity & Authentication: Your name, work email address, and Microsoft Entra ID credentials used to authenticate your session.
• Field Form Data: Data you enter into field forms, including work order details, job site information, asset identifiers, inspection results, and supporting photos or documents.
• Employee & Workforce Data: Your employee ID, assigned roles, crew assignments, and form submission records.
• Job & Work Order Data: Work orders, job numbers, site names, customer or asset references, and approval chain records.
• Location Data: GPS coordinates collected when you submit a form or when the App is in use in the field. Location is used to geotag form submissions and associate them with the correct job site or asset location. On iOS and Android, background location may be used to tag submissions made while offline and synced when connectivity is restored.
• Device & Usage Data: Device type, operating system version, App version, and diagnostic logs used to troubleshoot technical issues.
• Photos & Media: Photos or video captured via the device camera or selected from your photo library when attached to a form submission.

2. How We Use Your Information

• To authenticate your identity and authorize access to App features based on your role.
• To record, route, and process field form submissions through the approval workflow.
• To associate submissions with the correct job, work order, or asset record.
• To support compliance documentation, audit trails, and reporting.
• To improve App reliability and diagnose technical issues.
• To fulfill regulatory, legal, or contractual obligations applicable to Expanse Electrical operations.

3. Data Sharing

We do not sell your personal information. Data may be shared with:

• Internal systems: Connected enterprise platforms (e.g., NetSuite, UKG) as required to fulfill work order or payroll processing.
• Cloud infrastructure providers: Microsoft Azure, used to host the App and store data.
• Authorized personnel: Managers, approvers, and administrators within Expanse Electrical who need access to form data in the course of their duties.

4. Data Retention

Business data (form submissions, approvals, work records) is retained indefinitely as part of operational records unless a legal hold or deletion request applies. Audit trail logs are retained for a minimum of 3 years in production environments. Specific retention schedules may vary by data category per applicable regulation.

5. Location Data

The App requests location permission to geotag form submissions. Location data is stored as part of the submission record and used solely for operational purposes (associating submissions with sites, assets, or job locations). You may deny location permission on your device; certain App features may not function correctly without it.

6. Camera & Photo Library

The App requests camera and photo library access to attach site photos or documentation to form submissions. Media files are uploaded to secure cloud storage associated with the specific submission record and are not used for any other purpose.

7. Security

Data is transmitted over TLS-encrypted connections and stored in Microsoft Azure with access controls enforced by role-based permissions. Authentication is managed via Microsoft Entra ID (Azure Active Directory). We employ industry-standard measures to protect data; however, no system is completely immune to risk.

8. Your Rights

As an employee or authorized contractor, you may contact your IT administrator or direct a request to the contact below to:

• Access a copy of your personal data held by the App.
• Correct inaccurate personal data.
• Request deletion of personal data, subject to legal retention requirements.

9. Children

The App is an enterprise workforce tool intended for use by adults aged 18 and older. We do not knowingly collect information from minors.

10. Changes to This Policy

We may update this Privacy Policy to reflect changes in the App or applicable law. Updated versions will be made available within the App or at the URL where this policy is hosted. Continued use of the App after an update constitutes acceptance of the revised policy.
